Software firm injects a little fun into serious business of data security

Mary E. Cremeans, Compliance Officer & Lead Project Manager, Alpha II wrote the following feature article, sharing the behind-the-scenes, best practices of the accredited industry leader:

What was this person doing in our data center parking lot, looking around nervously and clicking on her smartphone? Was she just looking for directions or was she scoping out our building to launch a data hack? Although we try to take a light-hearted approach whenever possible, we take data security very seriously, and there was something very odd about this gal’s behavior.

Turns out, the makers of Pokémon Go had placed a “Poké Stop” next door to our data center and corporate headquarters, and this gal was tracking down a virtual critter. We promptly notified the game maker and requested they move the location away from our building.

As a software company that routinely handles protected health information (PHI), we closely follow the HIPAA and HITECH statutes and related Code of Federal Regulations (CFRs), and use the Office of Inspector General’s stringent guidelines that provide guidance on actions we need to take.

In early September, Hurricane Hermine made landfall in North Florida. Alpha II, which has its corporate offices in Tallahassee – lay directly in its path. More than 100,000 homes/businesses lost power in Leon County, internet and in some cases cellular service to this category 1 hurricane. Our hearts go out to the thousands of Tallahassee residents who incurred extensive damage to their homes and businesses due to high winds and the storm surge.

While the Alpha II corporate office lost power for several days, we are very proud to report that not one customer was affected by these outages – a true testament to our diligence in disaster recovery planning and our commitment to customer support…

Thousands of New ICD-10 Codes Slated for October Release

“This move is significant, marking the largest major change in diagnosis codes in five years,” Morris said. “On an average year, only 150 to 200 codes are changed, where this is almost ten times that amount. This is not the end of the changes, as CMS will soon announce another 500 revisions to existing codes beyond these additions. These revisions will likely be small changes, such as renaming the codes or small additions. While this is a major change, it still should be fairly painless to providers depending on where these codes are within their code set,” he added. “To ensure they are ready, providers will want to ensure that their practice management systems, EHR systems and clearinghouses are prepared and up to speed with these new changes.”

Thousands of new ICD-10 codes slated for October release

  • March 15, 2016

The Centers for Medicare and Medicaid Services and Centers for Disease Control and Prevention have given the green light to adding 3,651 ICD-10 hospital inpatient procedure codes and about 1,900 ICD-10 diagnosis codes, beginning in fiscal year 2017.

According to CMS, the coding update will be implemented on Oct. 1, 2016, and will include the “backlog of all proposals for changes to the code set proposed via the ICD-10 Coordination and Maintenance Committee process during the partial code freeze, and receiving public support.”

The agency attributes the large number of new codes to a partial freeze on updates to the ICD-10-CM and ICD-10 PCS codes that existed prior to the Oct. 1, 2015, ICD-10 transition deadline and which has now been lifted.

Registries First to Be Accredited for Best Business Practices

Alpha II and FIG.md, two data registries supporting physician compliance with federal data reporting initiatives, are the first registries to be accredited for meeting best business practices under a new program that officially rolls out in January 2016.

Receiving this accreditation from the Electronic Healthcare Network Accreditation Commission is a difficult task that requires substantial preparation before application and approval.

Alpha II, which supports eligible professionals in reporting under the Physician Quality Reporting System, and FIG.md, a clinical data registry supporting specialty societies, hospitals, health systems and accountable care organizations, were beta sites for the new program from EHNAC, which accredits a wide range of healthcare industry vendors.

Despite that déjà vu feeling, a number of circumstances have changed since the last time ICD-10 was delayed

The healthcare industry is now closer than it’s ever been to an ICD-10 compliance deadline — if only in calendar days. Whereas the previous pair of delays each came approximately seven months ahead of the former respective deadlines, today we are barely more than 5 months away from the ominous First of October. But other than that is anything actually different this time? Well, yes, according to several industry veterans who have spun around the seemingly endless ICD-10 track before. “The facilities that I’ve worked closely with have been more proactive in ICD-10 training and testing this time around,” said Stuart Newsome, vice president of medical coding and billing specialist Alpha II. “We’ve had interest in dual-coding and reporting, perhaps in order to better judge staffing needs for budgeting purposes.”
